1. Overview
Relay is a ministry toolkit operated by Christian Life Assembly ("CLA," "we," "us") at relay.claupc.org. It serves two distinct audiences:
- Staff & volunteers — internal tools for event check-in, follow-up coordination, and VBS class management.
- General public — online pre-registration for CLA events such as Vacation Bible School.
This policy explains what information we collect from each audience and how it is used.
2. Information We Collect
From staff and volunteers:
- First and last name, and mobile phone number, provided when setting up a volunteer profile.
- Activity data: check-ins, follow-up notes, badge assignments, and milestone records created while using Relay.
- Guest information for attendees, sourced from or synced with Planning Center Online.
From VBS registration (general public):
- Child's first and last name, age group, and any allergies or medical notes provided by the registering guardian.
- Guardian name and mobile phone number(s).
- A system-generated pickup code tied to each registered child, used for daily dismissal.
- Registration timestamp and enrollment status.
3. SMS / Phone Number Use
We operate two separate SMS programs through Relay:
Program A — Staff login & follow-up (volunteers only):
- A one-time verification code sent during the staff login process (two-factor authentication).
- Notifications when a follow-up request is assigned to you.
Message frequency for Program A varies based on volunteer activity — typically a handful of messages per event.
Program B — VBS registration verification (general public):
- A one-time verification code sent to the guardian's mobile number during VBS child registration to confirm the number is valid.
Message frequency for Program B: 1 message per registration session.
Message and data rates may apply. Reply STOP to opt out or HELP for help at any time.
4. How We Use Information
Information collected is used solely to operate Relay's ministry functions: verifying identity, attributing activity to the correct volunteer, routing follow-up assignments, managing VBS enrollment and daily check-in/dismissal, and recovering a volunteer profile on a new device.
Medical and allergy information provided during VBS registration is used only to inform VBS staff of relevant health considerations during the event. It is not shared beyond event staff.
5. Data Sharing
We do not sell or share personal information with third parties, except as required to operate Relay itself:
- Microsoft Azure — hosting and data storage (Azure App Service, Azure Table Storage).
- Planning Center Online — attendee and volunteer records are synced with CLA's Planning Center account.
- Twilio — SMS delivery for verification codes and follow-up notifications only.
6. Data Retention & Removal
Volunteer profiles and activity records are retained as long as needed to support CLA's event operations. VBS enrollment records are retained through the conclusion of the VBS event and reviewed annually for removal.
