App overview

Registration page

Attendees can pre-register online before they arrive. Share this link anywhere โ€” social media, email, printed flyer, or QR code at the entrance.

Share the registration link

The public form is at fcstaff.claupc.org/register. No login required. Supports English and Spanish.

English / Spanish toggle

A ๐ŸŒ button in the top-right switches the entire page between English and Spanish instantly.

Family members in one submission

The primary registrant can add spouse, children, and other relatives. Each person is registered separately in Planning Center. Children are tagged โญ in the attendees list.

Home church โ€” CLA campus or free text

A dropdown lists all active CLA campuses pulled live from Planning Center. If they attend another church, three fields appear: church name, city, and state. Saves to their PCO note.

Phone or email โ€” either is enough

The form requires at least one contact method but not both.

FC badges printed from the Attendees tab

Once someone registers, they appear in the Attendees tab. Print their FC badge from there before the event.

Setting up your profile

Enter your name and phone number

On first launch a profile prompt appears. Your name stamps every note you record and lets you recover your profile if your session resets.

Verify your phone number

A 6-digit code is texted to your number. Enter it to confirm โ€” this lets Relay text you when a follow-up is assigned to you.

Tap "Skip for now" if needed โ€” a small orange dot reminds you to verify later.

You're automatically added to the volunteer roster

Opening the Follow-up tab registers you as a volunteer and adds you to the assignment dropdown.

If your cookies clear, use the same phone number โ€” the app recognizes you and won't create a duplicate.

Add to your home screen

iPhone: tap Share (โ–กโ†‘) in Safari โ†’ Add to Home Screen. Android: tap Menu (โ‹ฎ) in Chrome โ†’ Add to Home screen.

Two types of badges

FC-001

Pre-Registered

Printed ahead of time with the attendee's name and QR code. Scan and their Planning Center profile loads instantly.

Scan and go
WI-001

Walk-In

Blank badges with only a number and QR code. Keep a stack at the welcome table and hand them out at the door.

Three icons appear next to names to help identify people at a glance.

Spanish speaker

Indicated they speak Spanish on the form or during walk-in check-in. Bring a translator.

Under 18. Tagged when a registrant adds a child to their family. Use "Children First" sort for the Saturday kids' service.

WI Walk-in

Registered at the door rather than pre-registering online.

Sorting the list

Use the sort dropdown next to the search box: Last Name, First Name, Newest First, Oldest First, Children First, Spanish First, Walk-ins First.

Notes loading progress bar

When you open the Attendees tab the app fetches notes from PCO in the background. A thin progress bar appears at the top โ€” the search and sort are disabled until it finishes (8โ€“10 seconds for 80โ€“100 attendees).

Notes are cached for 5 minutes. If you switch tabs and come back, the bar won't reappear until the cache expires.

TEST

Test entries highlighted in pink

Any attendee with "test" in their name appears with a pink row background. Remove these before the event starts on June 19.

How to check in a walk-in

Hand them a WI badge

Grab the next badge from the walk-in stack at the welcome table.

Open the Walk-ins tab and scan their badge

Tap the camera icon and scan the WI badge QR code, or type the badge number manually (e.g. WI-014).

Search Planning Center first

Many people are already in PCO. If you find them, tap their name and tap "Link badge & open profile."

Always search before creating. Duplicates in Planning Center create follow-up problems later.

If not found โ€” create a new record

Tap "Not in PCO โ€” create new." Enter name, phone, and email. If they speak Spanish, check "Speaks Spanish" โ€” a icon will appear next to their name everywhere.

If the line is long, save with just a name and come back for contact info before the service ends.

Tap any milestones that apply

Baptized, Holy Ghost, Bible Study, or Miracle/Healing โ€” saves instantly to Planning Center.

After the event โ€” sync any offline captures

Anyone saved without a PCO record appears in Walk-ins under Pending PCO Sync. Tap "Push to PCO" for each one before the end of the day.

Replacing a badge

Open their profile

Search by name or scan their old badge to pull up the person's profile.

Tap "Replace badge"

Found under the Badge section of their profile. Grab a fresh WI badge and enter its number (e.g. WI-022).

Enter a reason

A quick note like "Late registration" or "Lost badge" โ€” saved to the badge record log.

Their old badge is automatically released and the new WI badge takes over โ€” scanning the new badge opens their profile.

Recording milestones

On every attendee profile you'll see four milestone buttons. Tap the moment it happens โ€” it saves immediately to Planning Center.

Miracle / Healing

Don't have their info yet? Tap the milestone and save anyway. Fill in their details from the Walk-ins tab later.
Miracle / Healing prompts you to briefly describe what happened before it saves to Planning Center.

Dashboard & exports

Live milestone & attendance counts

Baptisms, Holy Ghost, Bible study requests, and miracles update in real time. Tap Refresh to pull the latest from Planning Center.

Export for follow-up planning

Scroll to the Export card. Optionally set a date range or filter to a single campus, then choose an export type.

Download CSV

A spreadsheet with everyone who received a milestone (name, contact info, type, date, campus) and everyone Spanish-speaking. Opens in Excel, Numbers, or Google Sheets.

PDF report

Opens a print-friendly report in a new tab. Use your browser's print dialog โ†’ "Save as PDF."

If nothing opens, allow pop-ups for this site and try again.

Follow-up system

Sync from dashboard

On the Follow-up tab tap "Sync from dashboard" โ€” pulls in everyone who received a milestone and creates their follow-up record.

Assign to a volunteer

Tap any person โ†’ open follow-up card โ†’ "Assigned to" dropdown โ†’ Save. Status updates to Assigned automatically.

If the volunteer has verified their phone, they'll get a text automatically โ€” no need to keep the tab open.

Campus referral for out-of-area attendees

Use the Campus referral dropdown for people not from the Syracuse area. Saves to Planning Center so the right campus can follow up.

Campuses: CLA Auburn, CLA Geneva, CLA Morrisville, CLA North Syracuse, CLA Oneida, CLA Syracuse.

Volunteers log their contact attempts

Open "My assignments" โ†’ tap a person โ†’ log each attempt (Phone call, Text, or Visit) with outcome and notes. The Activity feed shows a full trail of what's been tried.

Overdue follow-ups are flagged

Any record left Unassigned or In Progress for more than 48 hours gets a red โš  OVERDUE tag and is bumped to the top. Check "โš  Overdue only" to see just these.
